The Elevator Pitch

As a Billing Clerk, you'll play a key role in supporting Evolv’s continued growth by ensuring timely and accurate invoicing, improving cash collections, and maintaining strong relationships with internal and external stakeholders. Your ability to manage high volumes of transactions with precision and professionalism will directly impact the company’s revenue recognition and financial reporting.
Success in the Role: What are performance outcomes over the first 6-12 months you will work toward completing?
In the first 30 days, you will:
- Get to know the team and the key partners you will work with.
- Understand how Evolv's products and services are quoted, contracted, and invoiced.
- Understand and maintain organization of the accounts receivable mailbox.
- Invoice sales orders for transactions of varying amounts.
- Be able to successfully run the AR aging report in NetSuite, review aging invoices, and reach out to customers requesting a collections update
Within 3 months, you will:
- Collaborate cross-functionally to resolve order-to-cash blockers, with the revenue, order management, and logistics teams
- Understand different types of invoicing language and billing terms within contracts, and how this impacts timing and accuracy of an invoice.
- Confidently validate sales orders for invoicing and identify discrepancies proactively.
- Regularly contact customers to follow up on aged invoices, demonstrating tact and persistence.
By the end of the first year, you will:
- Own the end-to-end billing process for all order types, contributing to clean month-end and quarter-end close.
- Create new customers upon request from the order management team
- Maintain the invoicing waterfall or similar report that provides visibility into future periods' invoices and amounts
- Compare internal quotes with external customer POs, ensure invoicing occurs per terms and conditions, or investigate discrepancies.
- Deliver detailed reports on unbilled orders, helping to optimize revenue recognition timelines.
- Communicate with internal and external customers in resolving issues or disputed invoices.
- Improve days sales outstanding (DSO) and aged receivables through consistent, effective collections.
- Reconcile AR sub ledger to the general ledger monthly
- Reduce billing errors, accelerate collections, and contribute to smoother revenue operations

Financial Acumen
- Navigate our accounting systems (NetSuite, Salesforce) to complete accurate and timely invoices.
- Analyze billing data and proactively resolve discrepancies.
- Ensure billing aligns with contract terms and revenue recognition policies.
Team Engagement
- Communicate effectively and regularly with cross-functional teams.
- Participate in meetings, share updates, and raise blockers early.
- Support the team on ad-hoc projects and process improvements.
Customer Service
- Confidence in picking up the phone and proactively calling customers to get any disputes resolved
- Timely and professional response to customers questions (both internal and external)
- Ensure high-quality and timely responses to both internal and external stakeholders.

You will be joining the Finance and Accounting team and report to the Assistant Controller.

Where is the role located?
The location of this role is based out of our HQ in Waltham, MA with some flexibility in being remote some days.
What is the salary range?
The base salary range for this full-time position is $25.00-$35.00/per hour + bonus + equity + benefits. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.

- 1-3 years' experience in a prior Billing role.
- Strong attention to detail and organizational skills.
- Proficient in Excel and comfortable working with spreadsheets and data.
- Excellent written and verbal communication skills.
- Experience billing with a SaaS business models or recurring revenue is a plus.
- Experience with billing or accounting software is required, NetSuite and Salesforce experience is preferred
- Experience at a publicly traded company preferred
