As we scale rapidly across locations, roles, and compensation structures, we need a dedicated owner who can ensure these critical processes run smoothly and reliably.
We are hiring a Payroll and Stock Administrator to own the day to day administration of payroll and equity programs. This role sits within the People Operations team and works closely with Total Rewards, Finance, Legal, and People Tech to ensure employees are paid accurately, equity is administered correctly, and all systems and records stay clean and compliant.
This role is ideal for someone who is highly detail oriented, systems minded, and comfortable operating in a fast paced, high growth environment. You will be trusted with sensitive data and play a key role in maintaining employee confidence in Hadrian’s compensation and ownership programs.
What You’ll Do
Payroll Administration
· Own the execution of payroll across all employees, ensuring timely and accurate processing each pay period using Rippling or similar payroll systems.
· Manage payroll inputs including new hires, terminations, pay changes, bonuses, commissions, and corrections in partnership with People Operations and Finance.
· Reconcile payroll data between HRIS, payroll systems, and finance systems to ensure accuracy and alignment.
· Respond to employee payroll questions with accuracy, discretion, and professionalism.
· Support payroll audits, filings, and compliance requirements, including coordination with Finance and external partners as needed.
Equity and Stock Administration
· Administer Hadrian’s equity programs, including stock option grants, vesting schedules, exercises, expirations, and terminations.
· Prepare and distribute equity grant agreements and related documentation in coordination with People Operations, Legal, and Finance.
· Maintain accurate, up to date records in the equity management system and ensure ongoing reconciliation with HRIS data.
· Process employee stock option exercises and support employees through the exercise workflow, including timelines, documentation, and system steps.
· Monitor vesting schedules and key equity milestones, including post termination exercise windows, and proactively flag upcoming deadlines.
· Serve as a primary point of contact for employee questions related to equity administration, vesting mechanics, and equity processes, while clearly communicating where tax or legal advice is required.
· Support equity related reporting and data preparation for audits, valuations, and required filings.
· Coordinate with Legal and Finance to ensure equity actions align with plan documents, approvals, and compliance requirements.
Cross Functional Partnership and Process Ownership
· Partner closely with the Manager, Total Rewards to ensure payroll and equity operations align with compensation philosophy, policies, and governance.
· Work with People Tech to maintain clean integrations between HRIS, payroll, and equity systems and to troubleshoot data or system issues.
· Document and maintain clear SOPs for payroll and equity workflows to support scalability, continuity, and audit readiness.
· Identify opportunities to improve accuracy, efficiency, and reliability across payroll and equity operations through process improvements or automation.
· Maintain strict confidentiality, data integrity, and professionalism when handling sensitive employee and company information.
What We’re Looking For
· 4 years or more of experience in payroll administration, equity administration, or a finance role with meaningful ownership of one or both areas.
· Experience operating in a high-growth, fast paced, evolving environment.
· Hands on experience running payroll for both hourly and salaried employees.
· Experience with Rippling payroll is strongly preferred but not required.
· Working knowledge of equity compensation concepts including stock options, vesting schedules, grant agreements, and basic tax considerations.
· Strong attention to detail and comfort working with sensitive financial and personal data.
· Ability to manage recurring cycles, deadlines, and ad hoc requests without sacrificing accuracy.
· Clear written and verbal communication skills with a service oriented mindset.
· Ability to partner effectively with Finance, Legal, People Ops, and leadership.
What Will Set You Apart
· Experience administering payroll and equity in a high growth or startup environment.
· Hands on experience with Rippling, Carta, Shareworks, or similar payroll and equity platforms.
· Experience supporting payroll, equity, or compensation audits.
· Strong spreadsheet and reconciliation skills.
· Demonstrated ability to improve operational processes and documentation.

Compensation
For this role, the target salary range is $110,000 - $160,000 (actual range may vary based on experience and performance).
This is the lowest to highest salary we reasonably and in good faith believe we would pay for this role at the time of this posting.
