Position Overview
We are seeking a proactive and organized Office Manager to play a key role in creating an efficient, collaborative, and welcoming workplace environment. Reporting to the Head of Operations, this role involves streamlining administrative tasks, managing office facilities, and enhancing the on-site employee experience, ultimately contributing to company growth and success.
In this role you will be responsible for:
Administrative Duties and Reception Management
- Oversee front desk operations, including greeting visitors, managing NDAs, answering “office phone”, ensuring secure office access and conducting general business administration tasks.
- Coordinate with the EA and team on scheduling visitors, booking conference rooms, ordering meals, and arranging transportation.
- Maintain a clean, organized workplace by managing janitorial services, stocking kitchen and conference rooms, watering plants, and ensuring overall tidiness.
- Manage office and kitchen supplies, adhering to set budgets.
- Handle incoming and outgoing mail and packages, including tracking, sorting, and distribution.
- Manage company shipping accounts and sending domestic and international shipments.
- Own and manage company website and specific business subscriptions (Forkable, Uber for Business, Slack, etc.) and licenses.
- Support Head of Finance on purchasing, accounts payables and accounts receivables.
- Being first point of contact for any security issues for all locations Redirect employee inquiries to the appropriate contacts.
Employee Experience
- Support new hire onboarding by providing workplace training, preparing office badges and onsite desk set up, managing IT purchases and setup, and addressing general onboarding questions.
- Plan logistics for internal company meetings, such as all-hands meetings or AMAs.
- Organize company-wide events, team celebrations, and employee engagement initiatives.
- Partner with EA to organize and book travel and housing logistics for visitors.
- Ensure employee safety by collaborating with the Head of Operations to update and communicate office policies.
Facilities Management
- Assist in planning new office space and managing move logistics in collaboration with key stakeholders.
- Liaise with property management for service repairs and maintenance needs.
- Cultivate relationships with vendors, including security, HVAC, janitorial services, and maintenance teams.
- Evaluate, onboard, and manage vendor partnerships to ensure seamless operations.
Ideal candidates must have:
- Minimum of 4 years directly relevant work experience in office management or business administration in a high-growth or startup environment.
- A passion for building a culture of community, creating a safe and cheerful work environment, and equipped with a “can do” attitude to think outside the box when issues arise.
- Proficient with Google workplace, Microsoft Office, Asana, slack and other business software
- Excellent verbal and written communication skills
- Loves being in a fast-paced, startup culture.
- Ability to work independently and influence others to meet deadlines
- Desire to constantly learn and grow adapt to solve any problem
